This Privacy Policy (“Policy”) describes how EffortlessAI, LLC d/b/a Effortless Realtor (“Effortless Realtor,” “Company,” “we,” “our,” or “us”) collects, uses, shares, and safeguards information relating to individuals (“you” or “your”) in connection with your use of our websites, platforms, applications, APIs, and artificial intelligence services (the “Service”).

Effortless Realtor is committed to protecting personal data and complying with applicable data protection laws, including the General Data Protection Regulation (EU) 2016/679 (“GDPR”), the UK GDPR, the California Consumer Privacy Act of 2018 (as amended by the CPRA) (“CCPA”), and other international and state privacy frameworks.

By accessing or using the Service, you acknowledge that you have read and understood this Policy. If you do not agree, you must immediately cease use of the Service.

1. Information We Collect

Effortless Realtor collects the following categories of information:

1.1 Account and Contact Information. When you register for the Service, subscribe, or otherwise interact with us, we may collect personal identifiers including your name, email address, phone number, billing address, payment details, company or organization name, and related information.

1.2 User Content and Inputs. We collect any data, text, prompts, files, or other materials that you submit to the Service (“User Content”). User Content may include personal information where you choose to provide it. Effortless Realtor discourages submission of sensitive categories of data (including health, biometric, children’s data, or government identifiers) unless expressly permitted by law and authorized under a separate written agreement.

1.3 AI-Generated Outputs. The Service produces AI-generated outputs in response to User Content. Outputs may be stored temporarily or for limited retention periods to enable service delivery, auditing, security, quality control, and, where permitted, model improvement.

1.4 Technical and Usage Data. We automatically collect technical information through cookies, logs, and analytics tools, including IP address, device type, operating system, browser type, session activity, referral URLs, usage statistics, and diagnostic information.

2. How We Use Information

Effortless Realtor processes personal data only for lawful and legitimate purposes, including:

• Service Provision. To operate, maintain, and deliver the Service, including generating and delivering outputs.

• Account Management. To administer user accounts, authenticate logins, process payments, and provide customer support.

• Model Improvement. To train, fine-tune, and enhance our AI models, except where you exercise an applicable right to opt out of such use.

• Communications. To send transactional notices, respond to inquiries, and provide information regarding the Service.

• Analytics and Security. To analyze usage patterns, monitor performance, prevent fraud, enforce security, and maintain system integrity.

• Legal Compliance. To comply with applicable legal obligations, respond to lawful requests, enforce agreements, and resolve disputes.

We will not use personal information for purposes materially different from those disclosed in this Policy without first providing notice and obtaining consent where legally required.

3. Legal Bases for Processing

Where GDPR or similar laws apply, Effortless Realtor relies on the following lawful bases:

• Legal Obligation (Art. 6(1)(c)). Where processing is required to comply with statutory obligations or legal process.

4. Automated Decision-Making and Profiling

Effortless Realtor may use automated processing, including profiling, to deliver outputs and insights. Where such processing produces legal or similarly significant effects on individuals, you have the right to:

• Obtain meaningful information about the logic involved.

• Request human review of decisions.

• Contest the decision and express your views.

Effortless Realtor does not engage in solely automated decision-making without consent or another lawful basis where prohibited by law. Certain jurisdictions, including U.S. states, grant individuals the right to opt out of profiling in furtherance of decisions that produce legal or significant effects.

5. Data Sharing and International Transfers

5.1 Service Providers. We share data with service providers who perform hosting, analytics, payment processing, customer support, and AI model infrastructure. These providers act under contractual obligations requiring confidentiality and limited processing.

5.2 Legal Disclosures. We may disclose information in response to lawful requests by public authorities, courts, regulators, or law enforcement, or where disclosure is necessary to protect our legal rights.

5.3 Business Transactions. In the event of a merger, acquisition, restructuring, or sale of assets, personal data may be transferred as part of the transaction.

5.4 International Transfers. Where personal data is transferred outside of the European Economic Area, the United Kingdom, or other jurisdictions requiring safeguards, Effortless Realtor implements lawful transfer mechanisms such as EU Standard Contractual Clauses (SCCs), the UK International Data Transfer Addendum (IDTA), or equivalent legal safeguards.

6. Cookies and Tracking

We use cookies and similar technologies to authenticate users, store preferences, measure performance, and deliver relevant content. You may refuse cookies in your browser, but some Service features may not function properly. Effortless Realtor honors Global Privacy Control (GPC) signals as valid requests to opt out of data selling or sharing under the CPRA.

7. Data Retention

Effortless Realtor retains personal data only for as long as necessary for the purposes set out in this Policy, unless a longer retention period is required by law. Our retention schedule is as follows:

• Account and Contact Data: retained for the life of your account and up to three (3) years after termination for recordkeeping.

• Billing and Transaction Data: retained for seven (7) years for tax and compliance.

• User Content and AI Outputs: retained for up to 365 days for troubleshooting, auditing, and quality assurance, unless your plan disables retention.

• System Logs and Telemetry: retained for 12–24 months.

• Training Data Copies: retained only where you have not opted out, and anonymized where feasible.

Upon expiration of retention, data will be securely deleted or irreversibly anonymized.

8. Your Rights

Depending on your jurisdiction, you may have the following rights:

• Access: to confirm whether we process your personal data and obtain a copy.

• Rectification: to correct inaccurate or incomplete data.

• Erasure: to request deletion of personal data, subject to legal limitations.

• Restriction: to request restriction of processing in specific circumstances.

• Portability: to receive data in a structured, machine-readable format and transfer it to another controller.

• Objection: to object to processing based on legitimate interests or direct marketing.

• Withdrawal of Consent: to withdraw consent at any time.

• California Privacy Rights: Under the CCPA/CPRA, you may request to know the categories and specific pieces of personal information we collect, request deletion, and opt out of sale or sharing. Effortless Realtor does not sell personal data as defined by California law.

We will respond to verified requests within forty-five (45) days, extendable as permitted by law.

9. Security

Effortless Realtor implements technical and organizational safeguards consistent with industry standards, including encryption, access controls, monitoring, secure development practices, and alignment with the NIST AI Risk Management Framework and ISO/IEC 42001. While no system is entirely secure, we take all reasonable measures to protect personal data against unauthorized access, loss, misuse, or alteration.

10. Data Breach Notification

In the event of a personal data breach likely to result in risk to individuals, Effortless Realtor will notify affected users and relevant supervisory authorities without undue delay, and in any event within seventy-two (72) hours where required by law.

11. Children’s Privacy

The Service is not directed to individuals under eighteen (18) years of age. We do not knowingly collect personal data from minors. If we become aware that we have inadvertently collected such data, we will promptly delete it and terminate the associated account.

12. Changes to This Policy

We may revise this Policy periodically. Updates will be posted on this page with a new “Last Updated” date. For material changes, we will provide advance notice through the Service or by direct communication where legally required. Continued use after the effective date of changes constitutes acceptance.
